Dental Practices That Stay Full
Brand, site, booking and recall built as one system — so hygiene runs full, treatment gets scheduled, and every dollar of production is traceable to a source.
A Growth System Tuned to the Schedule
We build for practices that measure themselves in production per chair, hygiene reappointment rate and net new patients — not page views.
New-patient offers & online booking
Local SEO for every neighborhood
Smile galleries & treatment pages
Automated reminders & reviews
An Open Chair Is the Most Expensive Thing in the Building
Rent, payroll and the CBCT lease do not care whether the 10:20 slot is filled. In most general practices one unproductive hygiene day costs more than a full month of marketing. The gap is almost never demand — it is capture, recall and follow-up.
We audit the whole chain before we design anything: how many new-patient calls ring out, how many site visitors abandon the booking form, how many active patients have no next appointment on the schedule, and how much production is parked in unscheduled treatment plans.
Where the production leaks
Calls that hit voicemail
New-patient calls during lunch and after five rarely come back. They dial the next practice on the map.
Recall lists nobody works
Six-month recare drifts to nine, then twelve. Hygiene runs 60 percent full and the doctor column follows it down.
Unscheduled treatment
Diagnosed crowns, implants and perio sitting in the ledger with no follow-up sequence attached to them.
A site that buries the phone
Hours, parking and insurance above the fold; the one action that produces revenue three scrolls down.
What Your Practice Actually Gets
Six systems, built once, that keep working on the schedule every week.
Chair Utilization
Real-time online booking wired to your PMS availability, not a form that emails the front desk. Same-day emergency slots surface first, because that is where the highest-value new patients come from.
Recall & Reactivation
Automated recare sequences across text, email and voice for six-month, twelve-month and lapsed cohorts — each with its own message, offer and cadence.
Map Pack Ownership
Location pages, procedure pages and review velocity engineered so you hold the three-pack for “dentist near me” and every high-intent treatment term inside your draw radius.
Case Acceptance
Treatment pages that answer cost, financing and recovery before the consult. Patients arrive pre-sold on implants, clear aligners and full-arch instead of asking to think about it.
Insurance Clarity
In-network carriers, membership plan pricing and third-party financing stated plainly. The single biggest reason a qualified caller does not book is uncertainty about what it costs.
Multi-Location Rollout
One brand system, one CMS, per-office schedules, providers and NAP data. Adding office number nine takes an afternoon, not a rebuild.
Cohort logic, not blast messaging
Due-now, thirty-days-overdue, six-months-lapsed and inactive-two-years each get a different message. The lapsed cohort is where the production is.
Two-way text that books
Patients reply with a time. The system holds the slot, confirms it and writes back to the practice management system. No callback tag on the front desk monitor.
Unscheduled treatment follow-up
Every diagnosed-but-unscheduled case enters a sequence tied to the procedure, with financing terms attached to the message.
Review requests timed to the visit
The ask fires after the appointment is marked complete, to the patients most likely to say something good. Review velocity is the strongest local ranking lever you control.
Fill lists for cancellations
An 8am cancellation goes to a ranked standby list within minutes instead of becoming an hour of paid idle time.
The Recall Engine
Most practices already have enough patients on file to fill next quarter. They are just not being contacted in a way that produces an appointment.
We build recall as an operating system, not a reminder feature. It reads your active patient base, segments it by last visit, treatment status and insurance renewal, and works each segment on its own schedule. The front desk stops chasing and starts confirming.
Everything is measured in the language you already use at the morning huddle: production per chair, hygiene reappointment percentage, same-day treatment acceptance, and net new patients by referral source.
How the First Ninety Days Run
Weeks 1–2 · Diagnose
Production report, schedule analysis, call recordings, competitor map audit. We tell you exactly which of the four leaks is costing the most.
Weeks 3–6 · Build
Brand system, treatment and location pages, booking integration, tracking. Written and designed around your fee philosophy, not a template.
Weeks 7–8 · Launch
Go live, migrate rankings cleanly, turn on recall and reactivation, train the front desk on the scripts and the dashboard.
Week 9 Onward · Compound
Monthly content, review velocity, conversion testing on the booking path, and a production-linked report you can read in five minutes.
Dental Marketing vs. a Dental Growth System
The typical dental agency
The same template every practice in your county already has, with your photos dropped in.
Reports on impressions and sessions. Nothing that maps to production or new-patient count.
A contact form that emails the office. Recall stays a manual task on somebody’s list.
You do not own the site. Leaving means starting over.
Dark Water
A brand and site built for your case mix — implant-heavy, ortho-heavy or family general practice look nothing alike.
Reporting tied to booked appointments, procedure type and revenue per source.
Booking, recall, reactivation and review requests running automatically from day one.
You own the code, the domain, the content and the patient data. Always.
The Practice Operating System
Single office, growing group or DSO — every practice gets its own workspace at client.darkwater.work with the dental modules switched on. One login, one bill, one partner, instead of a booking tool, a recall tool, a payments tool and a reviews tool.

Frequently Asked
Yes. We work with Open Dental, Dentrix, Eaglesoft and Curve, plus the common scheduling and messaging layers that sit on top of them. Where a direct integration is not available we use the vendor’s booking widget and keep the tracking intact so you still see which source produced the appointment.
Ranking and booking are different problems. Plenty of practices sit in the map pack and still convert under two percent of visitors because the site never states fees, never explains financing, and hides the schedule button. We migrate rankings carefully — URL parity, redirect mapping, schema retained — and fix the conversion path underneath them.
Nothing clinical touches the marketing site. Booking requests pass to your PMS or a covered scheduling vendor over an encrypted connection, forms collect only what is needed to hold a slot, and analytics are configured so identifiable data is never sent to third-party pixels.
Two weeks of diagnosis, four weeks of build, two weeks to launch and train. Single-location DW Essential practices move faster; multi-location groups with provider bios and per-office schedules take longer. Recall and reactivation can be switched on during the build, so production usually moves before the site ships.
Yes. One design system, one content model, separate location pages with their own hours, providers, insurance lists and review streams — and one Client OS behind them with per-office schedules, staff permissions and reporting. Groups running several offices sit on DW Industry Pro — $799/mo; DSOs and multi-entity groups move to DW Enterprise, from $1,500/mo, for unlimited users, multiple locations and custom integrations.
You do — the code, the domain, the content, the analytics and the patient contact lists. We host on our own infrastructure and manage it, but there is no hostage clause. If you leave, everything transfers.
Both are in the subscription. Managed hosting, SSL, monitoring, security, monthly updates and SEO monitoring with monthly reports start at DW Essential — $249/mo. Marketing automation, email and SMS marketing, review management and a monthly strategy session are included in DW Business OS — $499/mo. There is no separate retainer and no maintenance invoice.
